What Happens After You Book Your Egypt Trip?

    8 min readTravel Tips

    Quick answer

From your confirmation within 48 hours to the final briefing three days before travel and the meeting on arrival, here is what happens after you book and what to check.

Within 48 hours you receive a confirmation listing every service. Over the following weeks we send reminders for the visa, insurance and balance payment and answer your questions. A week before travel we reconfirm all services; three days before, you receive the final briefing; on arrival, a representative meets you and your coordinator takes over.

Booking is the start of a sequence that runs until you fly home. Knowing what arrives when, and what you are expected to do at each stage, takes most of the uncertainty out of the weeks before an Egypt trip. It also helps you spot early if anything in your plans needs attention.

This guide walks through that sequence step by step. It explains what each stage involves, what you should check, and which questions are worth asking. The binding details for your own trip, including dates, amounts, and terms, are always the ones in your booking confirmation.

    Within 48 hours: your confirmation

Within 48 hours of booking you receive a confirmation listing every service in your trip. It includes:

    • Named hotels for each night of the trip.
    • The ship and cabin category if your trip includes a Nile cruise.
    • Domestic flight times for any flights inside Egypt.
    • Guides by city, so you know who leads each part of the itinerary.
    • Inclusions and exclusions, setting out what is and is not covered.
    • The payment schedule, including when the balance is due.

Any item still on request is flagged and confirmed as soon as the supplier responds. "On request" simply means that a specific service, such as a particular hotel room type or cabin, has been asked for but not yet confirmed by the supplier. It is common in travel, especially for small properties and popular dates.

What to check in your confirmation

Read the confirmation carefully as soon as it arrives, while it is easy to correct anything. In particular, check:

    • That every traveler's name matches their passport exactly.
    • That the dates, the number of nights in each place, and the order of cities are what you expected.
    • That room types and bed arrangements suit your group.
    • That the inclusions match what you discussed, and that you understand anything listed as excluded.
    • Which items, if any, are still on request.

If anything looks wrong or unclear, tell your coordinator straight away. Small corrections are much simpler to make early than close to departure.

    The weeks before you travel

Over the following weeks we send reminders at sensible points and answer your questions. The main tasks on your side are:

    Your visa

Entry rules depend on your passport and can change, so please check the official source before you travel.

    Travel insurance

Arrange travel insurance with evacuation coverage. When you compare policies, check that medical treatment and emergency evacuation are included, that the policy covers the activities in your itinerary, and that it covers any other countries you are visiting on the same trip. Keep the policy number and the insurer's emergency contact number with you while you travel.

    Passport validity

Entry rules depend on your passport and can change, so please check the official source before you travel. If you need to renew, do it early: passport processing times vary widely by country and season.

    The balance payment

Pay the balance by the due date shown in your confirmation. Put the date in your calendar when the confirmation arrives, and if anything about the payment method is unclear, ask well before the deadline.

    Your preferences and needs

Tell us about dietary needs, bed preferences, and mobility notes if you have not already. The earlier these are known, the easier it is to pass them to hotels, ships, restaurants, and guides. Useful details include food allergies, whether stairs or long walks are difficult, and any medical equipment you will travel with.

    One week before departure

One week out, every hotel, ship, flight, and guide is reconfirmed. Grand Egyptian Museum (GEM) timed tickets are secured, and your file goes to your guides and the airport representative.

Reconfirmation matters because travel plans are made months ahead, and schedules, especially domestic flight times, can change. Checking every service again shortly before you travel means any change can be handled before it affects you.

On your side, this is a good week to confirm your international flight times, check in online where your airline allows it, and let your coordinator know about any change in your own flights.

Three days before: the final briefing

Three days before you travel, you receive the final briefing. It contains:

    • Day-by-day pickup times for transfers and tours.
    • Contacts, including your coordinator's phone number and WhatsApp.
    • Arrival instructions, so you know what to expect at the airport.
    • Tipping guidance, to help you plan for gratuities.
    • A packing reminder suited to your itinerary and season.

    How to use the briefing

Save the contacts in your phone before you leave home, and keep a copy of the briefing offline, either printed or downloaded, in case you do not have a signal when you land. Read the arrival instructions so that you know where you will be met. If your international flight changes after you receive the briefing, tell your coordinator, because pickup times are built around your arrival.

    Arrival and during the trip

A representative meets you after customs. From there, your coordinator takes over.

Each evening your guide confirms the next day's pickup. Your coordinator monitors flights and ships and is reachable at all hours. If something changes, such as a flight time or a weather-related delay, the coordinator is the person who adjusts the plan and tells you what happens next.

Getting the most from your support

Contact your coordinator early if anything is not as expected, whether it is a room issue, a health concern, or a change you would like to make. Problems are much easier to solve while you are still in the place where they arise. Keep your phone charged during transfer days, and keep your briefing handy so you always know the next pickup time.

    After the trip

When you are home, you receive a short feedback request. We read it and act on it; it is how ships and hotels earn or lose their place on our lists. Honest feedback, positive or critical, is a useful thing to send, and specific details help most: a guide who went out of their way, a room that did not match the description, a meal that stood out.

Yes. Entry rules depend on your passport and can change, so please check the official source before you travel.

The final briefing arrives about three days before departure. It includes your day-by-day pickup times, your coordinator's phone and WhatsApp contacts, arrival instructions, tipping guidance, and a packing reminder.

What does "on request" mean in my confirmation?

It means a service has been requested from the supplier but not yet confirmed. Any such item is flagged in your confirmation and confirmed as soon as the supplier responds.
